Getting Involved Salem Volunteer Committees

Volunteering as part of Salem’s HSA not only benefits Salem, but your child as well. When your child sees you helping out, they see the importance you put on their education. Volunteering as part of the HSA allows you to:

• Gain firsthand knowledge of Salem
• Have a sense of belonging for both you and your child
• Increase confidence in your child
• Increase social opportunities
• Have a sense of achievement
• Helps your child perform academically

There are many ways to help out at Salem. We have many programs, events and committees that are geared to fit any schedule.

Please take some time to review the volunteer opportunities available.

What are my Responsibilities if I am a CHAIR or VOLUNTEER?

CHAIR: The primary responsibility of a co-chair is to oversee, organize, and plan for an event. Each committee will have its own specific needs based on the type of program or event. Committee chairs will be provided with a set of guidelines and a folder with information from the previous year to help assist in the committee planning. In addition, every committee is assigned a liaison from the Executive Board who will be available to help and guide our chairs in any way needed. All committees will have at least two co-chairs except where it is not deemed necessary because of the magnitude of planning involved.

VOLUNTEER responsibilities are to assist the Chair with the planning and execution of the event or program. Responsibilities may include tasks such as: follow up emails, phone calls, supplying prizes, beverages, snacks, set up, clean up, advertising an event in the HSA Weekly Newsletter, creating a flyer, etc. Volunteers will be called upon prior to an event being planned.

August 2012:

CHAIRS and VOLUNTEERS are needed to ride the bus home with Kindergarten students the first three days of school, raise awareness of safety issues of children walking or riding their bikes to school, and coordinate/publicize a bike safety seminar for our fourth and fifth graders. This committee will also act as the liaison to Mr. Shields regarding the traffic circle and education of drop off and pick up procedures.

CHAIRS and VOLUNTEERS are needed to coordinate a get together to introduce children and families to one another, prior to the first day of school, in a playground atmosphere. Responsibilities include providing ice pops and water. This is a community building event. This is on the same day as Bus, Bicycle and Walker Safety.

September 2012:

CHAIRS are needed to coordinate the sale of a coupon book filled with discounts at local stores, restaurants, and entertainment venues. This is a fundraiser.

CHAIRS are needed to coordinate this family event in September and June. They will be responsible to purchase and sell ices, water, and other treats. This is a community building event.

CHAIRS and VOLUNTEERS are needed to coordinate with the Art teacher to make the Pride in Port banner, organize Salem Pennant Making Night and organize the school’s participation to walk in the parade to show Salem spirit. This is a community building event.

October 2012:

CHAIRS and VOLUNTEERS are needed to coordinate a gift wrap sale at Salem School. This is a fundraiser.

CHAIRS and VOLUNTEERS are needed to coordinate a family friendly fall festival at Salem School. Some ideas include fall plant sale, pumpkin patch, and a costume exchange. This is the 3rd year of this event and suggestions are welcome. This will be a community building event as well as a fundraiser.

CHAIRS Only are needed to coordinate fall and spring photo days with the photographer and Mr. Shields. In addition, you will be responsible for coordinating sales and delivery home of the photos. This committee will also work closely with the yearbook committee and help coordinate a school wide photo. This is a fundraiser.

CHAIRS and VOLUNTEERS are needed to educate the Salem staff and students about food allergies and the impact they have on daily living. This committee will coordinate classroom lessons and activities during Allergy Awareness Week. This committee also works with other Port Washington schools to make sure that any new information is available and passed on to Salem staff.

CHAIRS and VOLUNTEERS are needed to coordinate all aspects of the Salem Blood Drive and interface with Blood Bank Representatives.

(Monday Night Football) CHAIRS and VOLUNTEERS are needed to run this annual event at Salem. This will be held in the evening during football season at an off-site location. The purpose of this night is to bring our Dad’s together to socialize and watch football. Responsibilities include creation of a flyer and organizing a football pool and a 50/50 prize. This is a great opportunity for dads to volunteer. This will be a community building event as well as a fundraiser.

November 2012:

CHAIRS and VOLUNTEERS are needed to organize the Scholastic Book Fair in October and a second Book Fair in May. Responsibilities include ordering and overseeing the delivery of books, set up in the gym and working throughout the book fair. This is a fundraiser.

2-3 CHAIRS and VOLUNTEERS are needed to organize family bingo night(s), during the year. This is a community building event as well as a fundraiser.

December 2012:

CHAIRS and VOLUNEERS are needed to plan our biggest and most exciting fundraiser of the year. This event is held at an off-site location in the evening. There is dinner, shopping, class baskets, teacher prizes, children’s artwork...and so much more! This committee will plan all aspects of this community building event including managing finances, creating invitations and centerpieces, contracting vendors, coordinating meet & greet, coordinating class baskets and teacher donations, soliciting local vendors for raffle donations, wrapping baskets, and all other aspects that make this a successful and fun evening for all of our Moms. This is a community building event as well as a fundraiser.

If you would like to chair or volunteer for a subcommittee for Ladies Night Out, please indicate below:

This subcommittee chair will coordinate with Mrs. Turtz (the art teacher), on the class art projects, including purchasing supplies (if needed), collecting completed projects and wrapping and displaying art projects for the night of the event.

Coordinate 15-20 vendors to sell at LNO. Responsibilities include sending out contracts, collecting signed contracts and vendor payments and assisting with vendor set up and management on the night of the event.

This subcommittee will work with committee members to coordinate solicitation of items for silent auction and raffle baskets. Job includes organizing and directing volunteers , managing donations using a spreadsheet and creating and sending thank you letters.

This subcommittee will be in charge of organizing raffle baskets and assembling them.

February 2013:

CHAIRS and VOLUNTEERS are needed to coordinate this event to replace our Bake sale around Valentine’s Day. We are looking for a fun new fundraising ideas, including possibly Valentine grams, carnation sale, etc. This is a fundraiser.

CHAIRS are needed to choose a movie, advertise the event, and purchase water and popcorn to be distributed at the event. This is a community building event.

March 2012:

CHAIRS and VOLUNTEERS are responsible to coordinate this event at an off-site location for parents in the spring. Responsibilities are similar to Ladies Night Out and include: managing finances, creating invitations and centerpieces, soliciting items for a silent auction, and planning a fun evening out. This is a community building event as well as a fundraiser.

April 2012:

CHAIRS and VOLUNTEERS are needed to plan our annual community garage sale. Responsibilities include advertising the event, collecting and tagging items to sell, and coordinating with a charity to pick up any unsold items. This is a fundraiser.

CHAIRS and VOLUNTEERS are needed to set up a snack bar at the annual Salem talent show at Weber. This committee will purchase water and snacks to sell during the show held on a Friday evening. This is a fundraiser.

Chairs and volunteers are needed to help organize this service and fundraiser for Salem. They will collect quotes from companies using the school supplies list provided from Mr. Shields, and organize orders. This committee also involves some organization in the late summer.

May 2012:

CHAIR is responsible to organize the purchase of a LI Ducks baseball game on the weekend. The exact date and time of the game to be coordinated with the other elementary schools and approved by Mr. Shields. This is a community building event and fundraiser.

CHAIRS and VOLUNTEERS are needed to organize the purchase of plants from a nursery and handle preorder sales. This committee will also be responsible to assist with sale of plants to the students during school hours and help with set up and clean up. This is a fundraiser.

CHAIRS AND VOLUNTEERS are needed to coordinate with the Children’s Coalition this town wide event. It is a new committee and it will involve attending meetings with other representatives in the school district, planning activities during the week to encourage non screen use. This is a community building event.

CHAIRS and VOLUNTEERS are needed to coordinate this annual luncheon to show the staff at Salem school how much we appreciate all they do. Responsibilities include coordinating the donation of food and drinks from Salem families, set-up and clean-up during the day of the event, and decorating the staff room.

June 2012:

CHAIRS and VOLUNTEERS are needed to work with the Phys Ed teacher to coordinate the school wide field day. In addition, chairs will need to coordinate volunteers to provide refreshments for the students during games.

Ongoing Salem HSA Volunteer Committees


Display on a designated bulletin board, the birthdays for every student for that month. Responsibilities include making the display, and posting at the beginning of each month.

CHAIRS are needed to coordinate the collection and submission of BOXTOPS for Education and oversee other fundraising programs from other outside sources such as Target and STOP AND SHOP. This is a fundraiser.

CHAIRS and VOLUNTEERS are needed to help foster positive relationships with all Salem families. The committee will encourage all families to contribute to our school regardless of the amount of time they can provide and to know that all contributions are worthwhile. They will help all families feel a positive connection to the Salem community through events such as welcome breakfasts and potluck dinner. Additionally, you will help foster community building and communications, including Salem Newspaper, Walking club and Port Community relations. This is a community building committee.

CHAIRS and VOLUNTEERS are needed to help enrich the arts at Salem. Responsibilities include exploring new programs and assemblies representing the arts, and work with the district committee to bring programming to the Port Washington.

CHAIRS and VOLUNTEERS will coordinate Salem’s efforts in the district-wide effort to inform the community on the school budget. This committee works closely with the Co-Presidents and Class Parents to get the correct Budget information out to our Salem community.

CHAIRS AND VOLUNTEERS: This committee will focus on bringing together home and school to reinforce the love of reading in our children. The committee will create excitement around reading through various events and a week long Literacy Week. Events may or may not include things such as author visits, a parent run Literacy Night, or programs run in conjunction with the Port Washington Public Library. This is a new committee and we are looking for volunteers who have a love for reading and creative ideas on how to share that love of reading with the children and their parents.

CHAIRS and VOLUNTEERS are needed to work with the art teacher throughout the year to display artwork and assist in the coordination of a spring art show.

CHAIRS and VOLUNTEERS are needed work with the school librarian to coordinate birthday book donations. This committee will also work with the librarian to assist in any way necessary such as helping to catalog new books.

CHAIRS and VOLUNTEERS are needed to educate children, parents and teachers about our environment. The objective is to help Salem develop and improve its environmental awareness through programs that can educate and inform each individual. Volunteers are needed to help generate ideas for weekly “Green” tip for the HSA Newsletter, assist with collection of recyclable items collected at school, activities to correlate with Earth Day in April and with program development to further promote Green concepts to the Salem community during Green Week in February and throughout the year.

(NEW) CHAIR and VOLUNTEERS will help with keeping Salem beautiful, including working on the garden and other plantings, and any projects to enhance Salem’s atmosphere.

CHAIRS and VOLUNTEERS are responsible to work with the district liaison for any activities they have planned (sample day, nutrition week). They will educate the students and parents throughout the year on nutrition and healthy food choices. A CHAIR should have a nutrition or culinary background. VOLUNTEERS are needed during the year to help serve samples on sample days and to help with nutrition projects throughout the year.

CHAIRS and VOLUNTEERS are needed to coordinate with our guidance counselor to organize district outreach efforts throughout the school year (see list below). This committee will help to publicize outreach efforts, collect donations at school, set up distribution of donations, and any other effort specific tasks that are required. We are looking for one/two chairs to oversee all of our outreach efforts and a chair to run each of the programs listed below. In addition, these chairs will be the Salem liaison to Parent Council in the district wide anonymous Holiday Drive program. Responsibilities include coordinating donations of gifts to needy Port Washington families at holiday time.

CHAIRS and VOLUNTEERS are needed to help promote community among Salem’s working families and to help all families feel a connection to Salem School. An objective of this committee is to help the Salem working community to become more involved at Salem through volunteerism and establish open communication so that all families needs can be better met. This is a community building committee.

CHAIRS and VOLUNTEERS are needed to work with the Principal on enhancing our school playground, fields, and blacktop facilities and with the Guidance Counselor on Salem Ambassador Program. This committee will be responsible for maintaining the grade level recess equipment bins and for running monthly recess workshops with the children.

CHAIRS and VOLUNTEERS are needed to design, market, and sell Salem logo items. Responsibilities include ordering inventory prior to Open House and selling these items at Salem HSA sponsored events such as Open House, Bingo, Ladies Night Out etc…as well as at our monthly HSA meetings. CHAIRS only is needed to help organize, place orders and distribute this fundraising activity. It occurs at least 3 times during the year, coordinating with holiday shopping. You will need to be able to work quickly during order times to get the order placed and distributed. This is a fundraising activity.

CHAIR AND VOLUNTEERS are needed to help promote the great activities happening at Salem. This is a new committee and suggestions are welcome to increase Salem’s publicity and website usage. This will include making sure the website has all upcoming events and include sending to outside media sources, such as Port News, and Patch.com.

CHAIR position only. The focus of this committee is to maintain an updated Salem HSA website. All approved information would be supplied by the Co-Presidents such as current HSA meeting dates and times, upcoming events, apparel etc. This committee requires excellent computer skills.

For Fifth Grade Parents: As you know, the 5th grade has many events planned, including social and fundraising. Please indicate where you would like to help out. When volunteering for Spirit Night and/or 5th grade party, please indicate where you will also be helping out with 5th grade fundraising.
